Job Description: Back Office & Executive Assistant

Position Summary: The Back Office & Executive Assistant will provide administrative and operational support to senior executives, ensuring smooth office operations and assisting with day-to-day business functions. This role combines traditional executive assistant duties with back office responsibilities, including data management, communication coordination, and logistical support.

Key Responsibilities:

  1. Executive Support:
    • Manage executive calendars, scheduling meetings, appointments, and travel arrangements.
    • Prepare and edit correspondence, reports, and presentations.
    • Organize and prioritize tasks for executives to ensure efficient time management.
    • Act as a liaison between the executive team and internal/external stakeholders.
    • Handle confidential and sensitive information with discretion.
  2. Office Management:
    • Oversee day-to-day office operations, ensuring a smooth and organized work environment.
    • Manage office supplies inventory, ordering and maintaining supplies as needed.
    • Assist with managing office equipment and ensuring it is in working order.
    • Coordinate office maintenance, cleaning, and other services.
  3. Communication & Coordination:
    • Act as the point of contact for internal and external communications.
    • Coordinate meetings, conferences, and events for executives and team members.
    • Maintain and update organizational documents, files, and databases.
    • Handle incoming calls, emails, and requests, and provide timely responses.
  4. Back Office Support:
    • Manage data entry, record-keeping, and documentation processing.
    • Assist with financial administration, including invoice processing, expense reporting, and budget tracking.
    • Support HR functions such as onboarding new employees, maintaining personnel files, and coordinating training schedules.
    • Provide research and analytical support to assist in decision-making processes.
  5. Project Management Assistance:
    • Support the execution of company projects by tracking deadlines, deliverables, and resources.
    • Assist with preparing reports and updates on project progress.
    • Facilitate communication between different teams involved in projects.
  6. Other Duties:
    • Perform ad-hoc tasks and support executives with special requests.
    • Assist in the development and implementation of office procedures and policies.

Required Qualifications:

  • Proven experience as an Executive Assistant, Administrative Assistant, or similar role.
  • Strong organizational and multitasking skills.
  • Excellent communication skills, both written and verbal.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
  • Ability to work independently, manage multiple priorities, and adapt to changing requirements.
  • Strong attention to detail and problem-solving abilities.
  • Discretion and confidentiality in handling sensitive information.

Preferred Qualifications:

  • Experience in project management or office management.
  • Familiarity with HR functions and payroll software.
  • Knowledge of data management systems and cloud-based tools.

Education:

  • High school diploma or equivalent (required).
  • Bachelors degree in business administration, management, or a related field (preferred).

Working Environment:

  • Office-based role with occasional travel requirements.
  • Flexible working hours may be required, depending on the needs of the executives.
