Job Description: Back Office & Executive Assistant
Position Summary: The Back Office & Executive Assistant will provide administrative and operational support to senior executives, ensuring smooth office operations and assisting with day-to-day business functions. This role combines traditional executive assistant duties with back office responsibilities, including data management, communication coordination, and logistical support.
Key Responsibilities:
- Executive Support:
- Manage executive calendars, scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, and presentations.
- Organize and prioritize tasks for executives to ensure efficient time management.
- Act as a liaison between the executive team and internal/external stakeholders.
- Handle confidential and sensitive information with discretion.
- Office Management:
- Oversee day-to-day office operations, ensuring a smooth and organized work environment.
- Manage office supplies inventory, ordering and maintaining supplies as needed.
- Assist with managing office equipment and ensuring it is in working order.
- Coordinate office maintenance, cleaning, and other services.
- Communication & Coordination:
- Act as the point of contact for internal and external communications.
- Coordinate meetings, conferences, and events for executives and team members.
- Maintain and update organizational documents, files, and databases.
- Handle incoming calls, emails, and requests, and provide timely responses.
- Back Office Support:
- Manage data entry, record-keeping, and documentation processing.
- Assist with financial administration, including invoice processing, expense reporting, and budget tracking.
- Support HR functions such as onboarding new employees, maintaining personnel files, and coordinating training schedules.
- Provide research and analytical support to assist in decision-making processes.
- Project Management Assistance:
- Support the execution of company projects by tracking deadlines, deliverables, and resources.
- Assist with preparing reports and updates on project progress.
- Facilitate communication between different teams involved in projects.
- Other Duties:
- Perform ad-hoc tasks and support executives with special requests.
- Assist in the development and implementation of office procedures and policies.
Required Qualifications:
- Proven experience as an Executive Assistant, Administrative Assistant, or similar role.
- Strong organizational and multitasking skills.
- Excellent communication skills, both written and verbal.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
- Ability to work independently, manage multiple priorities, and adapt to changing requirements.
- Strong attention to detail and problem-solving abilities.
- Discretion and confidentiality in handling sensitive information.
Preferred Qualifications:
- Experience in project management or office management.
- Familiarity with HR functions and payroll software.
- Knowledge of data management systems and cloud-based tools.
Education:
- High school diploma or equivalent (required).
- Bachelors degree in business administration, management, or a related field (preferred).
Working Environment:
- Office-based role with occasional travel requirements.
- Flexible working hours may be required, depending on the needs of the executives.
