Senior Projects Administrator

My client is looking for a dynamic and experienced Senior Projects Administrator to manage and oversee project administration and monitoring processes from planning to implementation. This role ensures that all projects adhere to established standards, meet timelines, and achieve desired outcomes. The ideal candidate will bring a proactive and detail-oriented approach, with strong communication, leadership, and organizational skills.

Key Responsibilities:

1. Project Administration 

  • Develop and implement project administration procedures and work schedules.
  • Create standard templates, tools, and techniques to enhance project execution.
  • Track progress, compile documentation, and provide regular progress reports.

2. Communication 

  • Maintain an efficient internal communication system to ensure continuous information sharing.
  • Collaborate with vendors and suppliers, coordinating project-related actions.
  • Communicate project objectives to all team members and facilitate weekly project meetings.

3. Compliance 

  • Ensure adherence to relevant regulations and procedures to maintain operational integrity.
  • Identify and report risks to management while minimizing wasteful and irregular expenditures.

4. Customer Service 

  • Foster strong working relationships with internal and external customers.
  • Represent the company in meetings with stakeholders and address issues proactively.

5. Staff Supervision 

  • Conduct performance appraisals, set objectives, and address employee relations promptly.
  • Ensure ongoing training and development of team members.

6. Cost and Financial Control 

  • Contribute to budget planning and ensure expenditure stays within approved limits.
  • Explore opportunities for cost optimization and maintain financial performance targets.

Qualifications and Experience:

Minimum Requirements:

  • Diploma in Project Administration or a related field (NQF 6).
  • Up to 5 years of experience in project administration, with at least 1-2 years in a supervisory role.

Preferred:

  • Bachelor's Degree in Project Management or related fields (NQF 7).

Technical Competencies:

  • Proficient in MS Office Suite.
  • Knowledge of project management, planning, and administrative principles.

  • Proactive and action-oriented.
  • Strong problem-solving and analytical skills.
  • Effective planning and organizational abilities.
  • Excellent communication skills (verbal and written).
