Japanese Operations Manager

Responsibilities:

  • Develop and maintain business relationships with Diplomatic Officials
  • Manage all day-to-day activities (administrative and functional) conducted at the Visa Application Centre which include:
    • Document scrutiny and verification for visa processing
    • Handling cash and bank related transactions, if assigned.
    • Maintaining and recording all applications data in a timely and accurate manner
    • Ensuring correct administration and logistic process of passports delivery to Mission, applicant, logistics company etc.
  • Identify incorrect or incomplete information by regular quality checks thereby ensuring accuracy of the visa application
  • Ensure regular Error Monitoring - To monitor track and reduce the number of errors every month, within acceptable limits
  • Maintain and improve levels of customer and Client satisfaction by enhancing procedures and continuously innovating methods to increase productivity and cost effectiveness. Ensure that the Teams are aligned and contribute towards achievement of parameters
  • Maintain adherence to the Contract for all processes and ensure adherence to Standard Operating Procedures, manuals etc. without any deviation. Ensure that the teams are mentored
  • Ensure compliance with VFS Global defined principles, policies & procedures as applicable to the role
  • Maintain high standards of ethics, integrity and compliance with corporate procedures
  • Ensure that the entire process is completed within the mandated Turn Around Time
  • Ensure personal & professional development for self and team by conducting trainings on regular basis (product and process trainings)
  • Provide assistance to staff when needed and handle applicant/customers requests
  • Liaise with various internal enabling units to handle team related queries.
  • Ensure delivery of value added services options and achievement of the targets
  • Manage Visa Application Center productivity and security (physical security and personal data security)
  • Adhere to the environment health and safety policy/objectives and guidelines of the organization

Qualifications:

Education:

  • Minimum: Graduate or global equivalent degree
  • Additional: Post Graduate or global equivalent

Experience:

  • 2 - 5 years experience preferably in
  • Travel and Tourism or Service industry

Knowledge & Key Skills:

  • Proficiency in MS office & good typing speed
  • Adaptability and presence of mind to handle
  • customer queries and expectations.
  • Team management skills

Mandatory Qualifications:

  • Fluency in Japanese and English Language Ability to read write and speak fluently, knowledge of an additional international language or the local language of the Country of posting would be very helpful.

Additional Details:

  • VISA - Japanese Nationals can be given a Philippine Residence once hired.
  • Work Set-up: Monday to Friday, 8-5pm but candidate should be flexible to work on Saturday and shifting schedule | Full Onsite - Manila
  • Language Certification Level: N1/N2
