Job Title: Property & Legal Assistant

Location: Office-Based in Edgware Road, London

Salary: Starting from £26,000 per annum

Working Hours: Monday to Friday, 9:00 am to 6:00 pm

Reports To: Facilities Manager

Job Purpose:

The Property & Legal Assistant will support the growth and management of the business by assisting with property sourcing, management, and legal functions. This role is specifically focused on contributing to a private healthcare companys operational expansion by ensuring properties meet business requirements and compliance standards. The ideal candidate will bring prior experience in property management and legal administration, enabling them to work independently and effectively from the outset.

Key Responsibilities:

Property Sourcing:

  • Research and identify potential property opportunities in specified areas.
  • Liaise with estate agents, landlords, and property sellers to gather key information.
  • Create detailed property reports, including ROI projections, for investor review.
  • Administrative Support:
  • Manage email inboxes, scan and organise company letters, and respond to property inquiries.
  • Flag urgent matters and maintain and update pipelines.
  • Organise meetings, calls, and schedules for the team.

Property Management:

  • Oversee the day-to-day management of existing properties.
  • Manage tenant communications, rent collection, and address maintenance issues.
  • Ensure legal and compliance requirements are met for all properties.
  • Conduct property inspections and handle tenant onboarding/offboarding processes.
  • Maintain rent database records and raise invoices.

Legal Assistance:

  • Assist with inquiries, prepare and exchange contracts, and manage property completions.
  • Handle legal disputes and cases related to the business, including non-compete agreements, contract violations, vendor disputes, utility issues, Valuation Offices, Local Councils, and other stakeholders.

Required Qualifications:

Education:

  • Bachelors degree or equivalent experience in property management, law, or a related field (preferred but not essential).

Experience:

  • Minimum 2 years of proven experience in property management or legal administration (healthcare, commercial, or operational property experience is highly desirable).
  • Demonstrated ability to manage multiple properties or contracts with minimal supervision.
  • Prior involvement in handling legal cases, preparing contracts, or liaising with external stakeholders such as councils or utility companies.

Knowledge, Skills, and Abilities:

  • Strong understanding of property sourcing, management, and compliance within a business operational context.
  • Excellent communication and negotiation skills, with the ability to liaise effectively with landlords, estate agents, and councils.
  • Proficiency in property management systems, Microsoft Office Suite, and other relevant tools.
  • Strong organisational skills with an ability to manage multiple tasks and prioritise effectively.

Preferred Qualifications:

  • Knowledge of UK property laws and healthcare-related property requirements.
  • Certification or training in property management or legal studies.
  • Experience working in industries where operational properties play a key role, such as healthcare or commercial settings.

Working Conditions:

This role is office-based in Edgware Road, London, with standard working hours from 9:00 am to 6:00 pm, Monday to Friday. Occasional travel for property inspections or meetings may be required.
