Your Mission as an Admin Assistant

As an Admin Assistant in the oil and gas sector, your core mission is to ensure smooth operation and user support of the hiring company business systems. You will play a crucial role in maintaining system integrity, preparing detailed reports, and providing analysis for assigned tasks and accounts, directly contributing to the efficiency and effectiveness of the field operations.

You will be handling these duties and responsibilities as an Admin Coordinator

  • Create and manage Direct Sales Orders by converting sales quotes into tickets and sales orders, ensuring accurate and timely delivery of products and services.
  • Ensure consistent and effective use of systems across the organization, particularly in field operations.
  • Provide user support and coordinate the local user community, promptly addressing issues to minimize downtime.
  • Deliver training sessions for local users as required, enhancing their proficiency with the business systems.
  • Manage user accounts, ensuring proper authorization and maintaining system security, crucial for field operations.
  • Monitor, troubleshoot, and correct system errors remove obsolete and duplicate items, maintaining data integrity.
  • Track and address all system feedback, help requests, bugs, and ideas to improve system performance.
  • Maintain an organized archiving and e-filing system for corporate documents, ensuring easy access and retrieval.
  • Handle sensitive information with confidentiality, adhering to industry regulations and company policies.
  • Contribute to the delivery of quality customer service, ensuring client satisfaction and efficient service delivery.

Qualifications and Skills that will allow you to thrive as an Admin Coordinator

  • Proven experience in business systems administration, preferably within the oil and gas industry.
  • Strong understanding of sales order processes and system management, with a focus on field operations.
  • Excellent problem-solving and troubleshooting skills, particularly in a field environment.
  • Proficiency in user support and training, with the ability to convey complex information clearly.
  • Ability to manage user accounts and authorization processes, ensuring security and compliance.
  • Strong organizational skills for document management, essential for maintaining operational efficiency.
  • Excellent communication skills, both written and verbal, for effective collaboration with field teams.
  • Ability to handle confidential information with discretion, adhering to industry standards.

  • Working Days Hours: Sunday - Thursday, 9 a.m to 5 p.m.
  • Location: Benghazi.
