WHAT WE ARE LOOKING FOR:

We are currently looking for a strategic full-time, salaried Regional Portfolio Manager to support the San Diego, CA regional office with experience in (large Class A and B+ properties or affordable) multi-family properties.  This position is Full-Time | Salary | Full Benefits and bonus eligible.

Pay Range:  $85k - $105k/ Yr

To be successful in this role you must meet the following requirements:

  • Bring your excitement and passion for operations.

  • Engagement and mentoring of property teams will be a daily opportunity.

  • This is a fast-paced environment. 

  • 5+ years as a regional manager in residential property management with supervisory/ management experience. 

  • Real Page or Yardi Budget Template experience a plus.

  • CPM designation is a plus but not required

  • Microsoft Outlook, Excel, Word, Power Point and Teams or Zoom, experience required.

  • A high level of reporting to owners and executive teams on budgets, financial variances, forecasting, market analysis, and weekly pricing.

  • Acquisition and Disposition experience.

  • 3 Party / Fee Management experience essential.

  • Collaborating with departments to meet property goals.

  • Hire, train, set goals and monitor staff performance.

  • A high level of comfort with speaking in groups, public forums or extemporaneously.

  • Critical writing requirements include correct grammar, structure, punctuation, and word usage.

  • Weekly visits to the portfolio; on-site 75% of the time.

  • Must meet reporting deadlines.

  • Knowledge of property management software platforms (Yardi, RealPage, Boston post, Gracehill, Revenue Management...etc.) preferred.

  • Knowledge of Microsoft suite.

  • Excellent written and verbal communication skills.

  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.

  • Must be highly self-motivated and customer-centric.

  • Great analytical, critical thinking, and problem-solving abilities.

  • Strong adaptability and capacity to work in fast-paced environments.

Duties and responsibilities:

Marketing and Leasing

  • Effectively manage the marketing and leasing process for each community within the assigned portfolio to achieve the goals and objectives outlined by the community’s ownership, the property’s budget, and senior leadership.

  • For affordable communities, actively manage and monitor waiting lists to ensure that occupancy goals are met and governmental requirements are followed.

  • Verify at each site visit that all signage at each community is approved and that all mandatory signage (such as fair housing, occupancy limits, etc.) is appropriately displayed.

Financial and Reporting

  • Actively monitor and manage the financial performance of each assigned property to ensure that revenue is maximized and that expenses are properly managed.

  • Proactively communicate with supervisor and, when required, ownership when there are market or property conditions that prevent the achievement of financial objectives.

  • Fully understand the financial statements (including income statements, balance sheets, general ledgers, and budget variance reports) of each assigned community and effectively communicate the financial performance of each to the supervisor and owner.

Supervisory

  • Working with Regional Vice President and/or Sr. RPM, manage all site-level associates by local, state, and federal employment laws.

  • When necessary, proactively work with Human Resources Business Partner or other designated internal staff to promptly correct and manage performance issues of all assigned staff members.

  • Ensure prompt and timely reporting of workplace injuries by CONAM’s policies & procedures.

  • Prepare and deliver meaningful performance evaluations of all assigned staff members by CONAM policies.

Education and Training

  • Ensure that all community associates complete all assigned training through the current education dashboard/platform.

  • Work with Regional Directors of Education to identify the training needs of individual associates.

  • Provide or arrange one-on-one training for associates when necessary to ensure that associates have access to the necessary knowledge and skills to be successful.

Recruitment

  • Work with the Talent Acquisitions team to attract, identify, recruit, and retain qualified associates for all positions in the department.

  • Interview and evaluate applicants.

  • Investigate qualifications and check references.

  • Promote CONAM’s associate referral program.

  • Review hiring recommendations of community managers.

  • Authorize employment offers and compensation levels and make employment offers subject to the approval of the Regional Vice President.

Legal

  • Ensure all business in the communities is conducted by fair housing laws and regulations.

  • Manage the communities in the portfolio and supervise community associates to fully comply with the principles of equal housing opportunity.

  • Ensure all business is conducted in compliance with local, state, and federal laws.

  • Monitor property-specific requirements for supplemental addenda, rent restrictions, reporting, and documentation.

  • Comply with the provisions of the property management agreement for each community in the management portfolio.

  • Read the property management agreement for each property, highlighting special requirements, reporting, expenditure limits, due dates, deadlines, or other stipulations.

  • Understand and fully adhere to all provisions of each property’s management agreement.

Regulatory Compliance

  • Be familiar with the regulatory programs for each property.

  • Become proficient in the use of software used by CONAM for the management of affordable properties.

  • Review all move-in files for administrative accuracy, in conformance with standards and findings issued by the Compliance Department.

  • Monitor the status and accuracy of the annual recertification of household eligibility.

  • To the extent authorized by the CONAM Compliance Department and the property owners, communicate with various agencies and investors regarding regulatory compliance at the properties.

  • Attend audits performed by state and federal agencies.

  • Review files in conformance with CONAM standards and require community managers to make corrections. Regional Portfolio managers do not have the authority to approve new households for program income eligibility.

  • After the first annual recertification, Regional Portfolio Managers have the authority to review and approve the subsequent recertification of households for program eligibility

  • Authority is limited by permission of property owners and the CONAM Compliance Department

Customer Service / Communication

  • Communicate effectively with community associates, owners, owners’ representatives, residents, prospective residents, vendors, and other CONAM associates.

  • Respond quickly and professionally to all resident complaints and concerns (expected response time of one business day).

Risk Management

  • Ensure compliance with OSHA requirements and the CONAM Injury and Illness Prevention Program.

  • Ensure timely and accurate reporting of all incidents in each community.

  • Proactively communicate to RVP and ownership when there is a major incident that will require further engagement.

  • Ensure that all mandatory employment posters are posted in each community and are maintained annually.

General

  • Comply with state and local real estate laws and licensing requirements.

  • Maintain an active real estate license, as required and instructed by the designated broker.

  • Attend meetings and maintain communications/relationships as needed with fee clients and asset managers.

  • Travel to attend these meetings, scheduling travel arrangements to allow full attendance and participation in all events.

  • Maintain a professional appearance and require the same of community associates.

  • Immediately report any suspected breach of fiduciary responsibility to the regional vice president or another appropriate executive-level associate.

  • Practice effective time management by prioritizing assignments and responsibilities to meet deadlines and manage the portfolio efficiently to meet the owner’s goals and objectives. Consult with the regional vice president when priorities conflict or are unclear.

  • All Other Duties as assigned.
