Key Responsibilities:
Administrative Support:
Perform general office duties such as filing, photocopying, scanning, and data entry.
Manage correspondence, including answering phone calls, responding to emails, and handling mail distribution.
Prepare and edit documents, reports, and presentations.
Scheduling and Coordination:
Organize and maintain schedules, appointments, and meetings for team members.
Coordinate travel arrangements and itineraries for staff when needed.
Manage conference room bookings and office event planning.
Record Keeping:
Maintain and update office records, databases, and contact lists.
Ensure compliance with company policies and procedures in document handling.
Customer and Client Interaction:
Serve as the first point of contact for visitors and clients, providing a professional and welcoming experience.
Address inquiries and provide information to internal and external stakeholders.
Office Management:
Monitor and order office supplies to maintain inventory levels.
Liaise with vendors for office maintenance and equipment repairs.
Ensure the workspace remains clean and organized.
Team Collaboration:
Assist different departments with project support as needed.
Work closely with the management team to streamline processes and implement solutions.
Qualifications:
Education: High school diploma or equivalent (associate degree or higher preferred).
Experience:
2+ years of administrative experience preferred.
Familiarity with office management software (e.g., Microsoft Office Suite, Google Workspace).
Skills:
Excellent written and verbal communication.
Strong organizational and time-management skills.
Proficiency in multitasking and problem-solving.
Attention to detail and accuracy in work.
Ability to maintain confidentiality and professionalism.
Working Conditions:
Schedule: Full-time, Monday through Friday, 8:00 AM to 5:00 PM (may vary depending on the organization’s needs).
Location: On-site position in Lake Charles, LA.
Physical Requirements: Ability to sit for prolonged periods, use office equipment, and occasionally lift items up to 20 lbs.
